Report Generation Wizard
Main menu command: Tools » Reports » Generate...
This wizard will help you create reports, item lists and collection catalogs. The generated report can be printed or exported into several popular formats such as RTF, XLS or HTML.
The wizard allows you to do it in a few steps. At any step, you can go back or cancel the operation.
Selecting the type of the report you want to be generated.
At this step, you should select the type of the report you want to create. The following types are available:
Simple table. The report is a table that can contain any item data except descriptions and images. The number of columns in the table is not limited and defined by the user.
Detailed catalog. The report can be of any form and can contain descriptions and images. The form of the report can be defined at the next step of this wizard.
Custom report. The report is user-designed (in Collmate Report Designer). This type of the report also can contain descriptions and images.
Statistical report. The report containing statistics on the current collection package, single collections and contacts.
Selecting the report form. *
At this step, you should select one of the available forms of reports or catalogs.
Choosing the items you want to be added into the report.
At this step, you should specify the items to be added to to the report. There are several options available:
Selected items only. Add only the selected items to the report.
Ñurrent list of items. Add all the items displayed in the current list to the report.
Entire collection. Add all the items of the current collection to the report.
Entire collection including its subcollections. Add all the items of the current collection and all its subcollections to the report.
Selecting the columns you want to includ into the report. **
At this step, you should select the columns you want to includ into the report. Select the "Include Record # into the report" checkbox to add the corresponding column to the report.
Defining the order for records to be sorted in. **
To define the order of records in the report, you should create the order of sorting using the "Insert", "Remove", " Move Up", etc. buttons. An example:
In this case, the records in the report will be sorted by artists alphabetically and by year for each artist:
Defining additional report properties. **
At this step, you can specify:
- the title of the report and its position on the page;
- the font to be used in the report;
- how the report should be fit into the page.
Defining the report page properties. **
At this step, you can specify page orientation and others settings for the report.
Managing the generated report.
You can specify what to do next after the report is successfully generated.
Preview and print report. Show the report preview. The report can be printed directly from the preview window.
Print now. Print the report without previewing it.
Generate another report. Return to the beginning of the wizard and create a new report. The current report will be lost.
Save as. Save the generated report into one of popular document formats.
Click the [Next] button to execute the selected action.
* - This step is available only if the "Detailed catalog" or " Custom report" report type is selected. For other report types, this step is automatically skipped.
** - This step is available only if the "Simple table" report type is selected. For other report types, this step is automatically skipped.
